Our team is ambitious, impact-driven, efficient and we believe humility, kindness, and compassion are essential to our success. If you're energized by velocity, obsessed with raising the bar, and want to build alongside people who care deeply about each other and our customers, we'd love to meet you.
The Role
We're hiring a Workplace Operations Coordinator to own how Hightouch shows up in person — from the day-to-day running of our San Francisco headquarters to the long-term plan for how our West Coast WeWork hubs and APAC teams gather, connect, and do their best work.
This is a hands-on role with a strategic horizon. On any given day you'll be making sure the SF office is stocked, set up, and running smoothly; planning the next team celebration; and thinking a few quarters ahead about what our growth means for space, programming, and the in-person experience across every location. You'll be the person our team turns to when they want to know what's happening in the office — and the reason it's worth showing up.
This role is based in our SF office Monday through Thursday. You'll report to the CEO's Chief of Staff and partner closely with leaders across the company. It's not a role for someone who waits to be handed a plan; it's for someone who sees what needs to happen next and makes it happen.
What You'll Do
You'll own the physical workplace at Hightouch end to end: the building, the space, the vendors, and the experience of everyone who walks in, plus our remote hubs.
Run the SF office day to day
- Own facilities and maintenance, including repairs, building systems like HVAC and electrical, and office projects like upcoming phone booth and furniture installs. You'll chase issues to resolution and fix root causes.
- Partner with IT on AV, tech, and electrical work, and serve as onsite point of contact for our IT technician.
- Run our food, beverage, and supplies programs, including pantry inventory, coffee, daily lunch, catering, mail, and shipping.
- Manage facilities vendors (cleaning, plants, food and beverage, contractors) and office spend, holding partners to a high bar on quality and cost.
Own building relations, access, and safety
- Be the primary contact for our landlord and building management, including lease administration, building forms, and vendor insurance certificates.
- Own office access for new hires, visitors, and departing employees, in partnership with People and IT.
- Keep the office safe and compliant, from emergency preparedness and fire drills to first aid and required postings.
Be the heartbeat of office culture
- Plan and run happy hours, celebrations, holiday events, and the small moments that make the office feel like ours.
- Welcome guests and candidates, and partner with leaders on offsites, customer events, and company gatherings.
Shape workplace experience across Hightouch
- Manage our WeWork memberships and remote hubs, and own the workplace strategy for SF, West Coast hubs, and APAC teams.
- Anticipate what growth means for space, hubs, and in-person programming, and bring proposals to leadership before they become urgent.
Who You Are
- You run complex logistics without dropping a thread. Multiple events on overlapping timelines don't rattle you — you've built the tracker, booked the vendors, and thought through the day-of before anyone has to ask.
- You close loops. You'd rather chase something to done than wait to be reminded. Follow-through is your default, not your exception.
- You bring the energy. You love bringing people together, you have great instincts for what makes an event memorable, and you're the first to notice when someone's milestone deserves a celebration.
- You think ahead. You can toggle between restocking the kitchen and planning for next year's headcount, and you're comfortable owning both the details and the bigger picture.
- You've operated in a high-velocity environment. Ideally you've supported workplace, office, or people operations at a fast-growing company that values in-person connection, and you thrive on creating spaces where people can operate and excel.
- You're excited to be in the office. You want to be on-site in San Francisco Monday through Thursday. This role is built around being present.
