THE ROLE:

Baseten is looking for a Workplace Coordinator to help run our San Francisco office and create an exceptional experience for everyone who works in or visits the space. You will work alongside our Office Manager and be at the center of the day-to-day operations of our largest and fastest-growing office.

Over 200 employees are based in San Francisco today, and we expect that population to more than double over the next year. We are also expanding from one space into two additional nearby buildings, creating a campus-like footprint that regularly hosts visiting employees, candidates, customers, investors, and events.

A major focus of this role is making our increasingly complex space work well. You will manage high demand for conference rooms and phone booths, anticipate competing needs, and make thoughtful tradeoffs based on team and business priorities. Like a great EA managing an executive’s calendar, you will constantly look ahead, spot conflicts, and adjust the puzzle.

You’ll be part of a growing, highly collaborative team that works together to raise the bar for how we support Baseten. The team shares context, jumps in to support one another, and continuously looks for ways to improve how we operate. As Baseten grows, you’ll have opportunities to take on new challenges and expand your scope.

This is an in-person role in San Francisco, expected to be in-office five days per week.

RESPONSIBILITIES:

  • Own front-of-house reception, creating a warm, polished experience for employees, candidates, customers, investors, and other visitors

  • Own conference room and space management across our growing SF footprint, proactively resolving conflicts and optimizing space based on business priorities

  • Plan ahead for high-priority and large-group needs, including onboarding, sales bootcamps, candidate interviews, customer visits, confidential meetings, marketing events, and board meetings

  • Build enough context on our teams and business to make good judgment calls when space is constrained

  • Maintain an exceptionally high bar for the physical office, noticing and addressing details like rooms that need resetting, missing furniture, broken equipment, and low supplies

  • Proactively identify ways to make our spaces more functional, organized, and enjoyable

  • Build strong relationships across the office to understand and anticipate team needs

  • Partner with the Office Manager with physical office operations, vendors, deliveries, supplies, and other workplace needs

  • Support in-office events, including setup, logistics, and resetting spaces afterward

  • Respond quickly to workplace needs and own issues through resolution

REQUIREMENTS:

  • Exceptionally detail-oriented, with a high quality bar and an instinct for noticing what others miss. Proactive and observant, with a bias toward identifying and solving problems before being asked.

  • Highly organized and able to manage changing calendars, constraints, requests, and priorities without dropping details

  • Strong judgment and problem-solving skills, with the ability to understand context and make thoughtful tradeoffs

  • Clear, responsive communicator who reliably keeps people informed and closes loops

  • High ownership mentality. When you take something on, others trust that you’ve got it

  • Strong relationship builder who gets to know teams and uses that context to anticipate their needs

  • Service-oriented and energized by creating an excellent experience for employees and visitors

  • Comfortable in a fast-paced, high-growth environment where needs change frequently
