Overview:

The Asset Management Specialist is responsible for managing and maintaining accurate asset data for key Managed Print Services (MPS) accounts. This role supports timely and accurate delivery of customer solutions by processing asset transactions, validating billing information, generating preliminary invoices and supporting reports, and resolving asset data management issues. The Asset Management Specialist works closely with cross-functional teams and geography counterparts to ensure invoice accuracy, data integrity, and timely completion of account-level deliverables.

What You Will Do:

Manage Moves, Adds, Decommission, or Change (MADC) asset transactions in the Siebel environment to support timely and accurate delivery of customer solutions
Generate Business Objects (BOXI) reports and analyze billing trends as part of account-level invoice validation
Generate timely and accurate preliminary invoices for Managed Print Services accounts
Create complete and accurate billing reports to support customer invoices
Process and resolve tickets received from internal teams, customers, and stakeholders within established timelines
Collaborate with cross-functional teams and geography counterparts to follow through on deliverables impacting invoice timeliness and completion
Validate MADC transactions prior to billing periods to assess expected customer master invoices
Monitor asset meter reads and device connectivity in Siebel as part of billing activities
Utilize Worldwide Asset Follow-up Report (WW AFUR), Business Intelligence, and analytics tools to identify and resolve asset and billing issues
Load devices to customer accounts by following the asset acceptance process for annuity and hardware assets
Validate asset information using shipment events and Configuration Part Numbers (CPN) in SAP
Analyze and manipulate data across multiple worksheets using sorting, filtering, VLOOKUP, IF, COUNT, Pivot Tables, and other Excel functions
Investigate and resolve asset data management issues, including missing meter reads, CPN information, provider contracts, and invoice delays
Analyze account-related problems by defining issues, gathering relevant data, evaluating potential solutions, and implementing appropriate corrective actions
Maintain asset data accuracy through proactive data maintenance and Entitlement and Provider Contract governance in accordance with MPS contract requirements
Provide timely updates on deliverables, inquiries, and issues while proactively prioritizing areas requiring attention
Perform ad hoc analysis, reporting, and other activities as assigned to support business requirements

What You Need to Succeed:

Bachelor's degree in business management, Engineering, Computer Science, Information Technology, Accounting, Accounting Management, or a related field
At least 5 years of relevant professional experience
Experience in Customer Service, Quality Assurance, Reporting, BPO operations, Team Leadership, Process Engineering, Quality Engineering, Manufacturing Supervision, or related roles is preferred
Advanced proficiency in Microsoft Excel, including Pivot Tables, VLOOKUP, and complex formulas
Experience with data analysis, data management, and reporting processes
Knowledge of Siebel navigation and asset management processes is preferred
Working knowledge of SAP, Business Intelligence tools, WW AFUR, Fleet View, and analytics platforms is an advantage
Strong analytical, technical, problem-solving, and decision-making skills
Strong attention to detail and commitment to data accuracy and quality
Excellent written and verbal communication skills
Ability to communicate effectively through phone, chat, and email with internal and external stakeholders
Strong interpersonal, administrative, and time management skills
Ability to prioritize deliverables, proactively provide updates, and work independently with minimal follow-up
Ability to collaborate effectively with cross-functional teams and global stakeholders
Demonstrated proactive, accountable, creative, collaborative, and customer-focused approach to work
