The role and team:
A Sales Operation and Executive Specialist is a professional who optimizes sales team efficiency and delivers high-level administrative support to the Country General Manager. The role typically involves streamlining business by managing sales/general performance reports, maintaining data integrity and managing schedules/arrangements for General Manager. A Sales Operations Specialist plays a crucial role in ensuring that the sales team operates smoothly and effectively.


The primary business interactions in this position are the Country General Manager,Sales Managers, and Finance Manager. Occasionally, there are interactions with customers and oversea visitors when arranging schedule.

  • Sales Operations & Analytics: Generate weekly sales performance reports and maintain dynamic dashboards to empower sales leadership decision-making.

  • Data Management & Integrity: Partner with the Data Team to regularly audit, update, and maintain accurate customer CRM records.

  • Sales Support & Enablement: Streamline administrative workflows for the sales team, including invoice approval management, presentation deck preparation, and end-to-end logistics for quarterly sales kick-off meetings.

  • Executive Support: Manage and optimize the General Manager's calendar, prioritizing commitments and resolving scheduling conflicts. Coordinate complex domestic and international travel arrangements (flights, lodging, ground transport) and detailed itineraries for the GM and visiting overseas stakeholders.

  • Cross-Departmental Collaboration: Working closely with other departments, such as marketing, finance, and customer service, to ensure alignment and support sales initiatives.


Key Qualifications:
For consideration, you must bring the following minimum skills and experiences to our team:

  • Experience: 3+ years in sales operations, business support, or executive assistant role within a corporate environment.

  • Technical Skills: Proficiency in Microsoft Excel and Google Sheets for data manipulation and reporting.

  • Core Competencies: Proven ability to handle highly sensitive, confidential strategic data with utmost discretion. Exceptional attention to detail and strong organizational skills.

  • Communication: Professional written and verbal communication skills; strong collaborative mindset and proactive work ethic.

Preferred Qualifications:

  • Language Skills: Native-level Japanese; Business-level English (TOEIC 800+ or equivalent).

  • Advanced Technical Skills: Intermediate-to-advanced Excel capabilities and familiarity with Tableau
