Program Manager, Onboarding

This role provides on-site New Hire Orientation support and coordination at Gigafactory Texas, owns administrative and operational work that keeps orientation and onboarding running, and leads onboarding programming and project work (including 30/60/90 and multi-site support as we scale).We’re looking for someone reliable, consistent, driven, and collaborative. A large part of this job is admin and operations: lists, invites, inbox, nametags, room setup and reset, supplies, attendance, reporting, filing/SharePoint hygiene, ticketing, and stakeholder updates. That administrative work is not optional — it is core to the role and may expand when the team needs coverage (for example if another coordinator or partner is out or leaves). You will also lead onboarding efforts such as 30/60/90 planning, site-level coordination and execution, IT partnership, and support for other sites as People Development scales NHO and onboarding across North America.
Responsibilities
- Provide hands-on orientation support at GFTX — early setup (6:00 a.m.), check-in, badging, MFA, nametags, escalations, and facilitator support — continuously improving the experience week over week
- Own all admin work supporting NHO and onboarding, including start lists, calendar invites, materials prep, room setup/reset, supply restock, attendance entry, completions upload, and SharePoint/file hygiene
- Prepare start lists and send stakeholder communications each Friday; resolve list issues and answer new-hire inquiries on Sundays; monitor the new-hire inbox and provide clear, timely follow-through on all inquiries
- Design and execute onboarding beyond Day 1 — including 30/60/90 checkpoints — in partnership with People Development leads, tracking progress and closing gaps against site expectations
- IT, Systems & Ticketing: Partner with IT and HRIS to resolve access and tooling issues; open and track tickets through resolution; document workarounds and feed lasting fixes back into the playbook
- Maintain accurate attendance, no-show, and onboarding data; produce actionable reports; own NHO/onboarding projects end to end including SOPs, checklists, tracker builds, and process improvement initiatives
- Support North America site scaling by sharing standards, templates, and coordination practices; provide coverage during rotation days, teammate absences, or role vacancies; escalate systemic issues for enterprise-level resolution
Requirements
- 1+ year of experience in program coordination, HR operations, learning operations, event operations, or a related field
- Ability to work fully on-site; available Friday/Sunday/Monday (plus Tuesday or Thursday on rotation) and able to start as early as 6:00 a.m. on orientation days
- Strong organization and follow-through and ability to multi-task
- Comfortable giving and receiving feedback; thinks on feet and solves problems without waiting for direction
- Reliable, consistent, and driven: completes work to standard, improves processes, advances independently, and follows through
- Exempleary communication skills, both written and verbal, and ability to speak in front of large audiences
- Proficiency in Microsoft Office, particularly Outlook and Excel and ability to learn internal tools
