Internship Opportunity: Finance, Operations and Management Assistant Coordinator

Start Date: November 2026

Duration: 12 months

Microsoft's European Government Affairs (EGA) organization is seeking a motivated and detail-oriented Finance, Operations and Management Assistant Coordinator to join its Brussels-based team. The role will primarily support the team's finance, procurement and operational processes, while also providing day-to-day administrative support to senior leaders and the broader team. 

This is an ideal opportunity for an early-career candidate who is eager to develop practical experience in business operations, financial coordination, procurement and executive support within an international and fast-paced environment. 

The purpose of Microsoft's European Government Affairs organization is to build relationships and strengthen dialogue with European stakeholders in support of the European digital and broader policy agenda. 


Responsibilities

Key responsibilities 

Finance and Operations  

  • Provide day-to-day support for finance, procurement and invoicing processes across the EGA team. 
  • Create and follow up on purchase orders, contracts, support invoice processing and maintain accurate finance and procurement records. 
  • Support the annual budget-planning, forecasting process and budget reviews in close collaboration with the Business Operations Manager. 
  • Engage with internal teams, suppliers, consultants and law firms to help ensure smooth and consistent operational processes. 
  • Support compliance-related processes, including hospitality and travel requests involving government officials, in line with Microsoft policies. 
  • Maintain team trackers, shared files, guidance materials and process documentation, and identify opportunities to simplify ways of working. 
  • Support onboarding and offboarding activities and contribute to broader team projects, events and learning activities. 

Management Assistance  

  • Support calendar management and scheduling for senior leaders, including internal and external meetings. 
  • Coordinate meeting logistics, virtual meetings, visitor arrangements and occasional business lunches or dinners. 
  • Support business travel arrangements, itineraries, travel documentation and expense submissions. 
  • Assist with Rhythm of Business activities, team meetings and operational follow-up. 
  • Provide back-up administrative support during periods of absence of the Executive Assistant  

Qualifications

Required qualifications 

  • Bachelor's degree or equivalent qualification in business administration, finance, accounting, management, economics or a related field. 
  • Legally authorised to work in Belgium (Legally authorised = has citizenship or has been granted a valid visa or work permit). 
  • Good numerical and analytical skills, with strong attention to detail and accuracy. 
  • Proficiency in Microsoft Office, particularly Excel, Outlook, PowerPoint and Teams. 
  • Excellent organizational and time-management skills, with the ability to manage several priorities and follow through on actions. 
  • Strong written and verbal communication skills in English. 
  • A collaborative, open and inclusive working style, with sound judgment and discretion. 
  • Ability to learn quickly, work proactively and adapt in a changing international environment. 
  • French language skills (written and verbal) are a plus.
