Job Summary
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will serve as a trusted partner, ensuring the efficient management of calendars, communications, meetings, travel arrangements, and key business activities. This role requires exceptional attention to detail, strong communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support
- Manage complex calendars, scheduling meetings across multiple time zones and resolving scheduling conflicts.
- Coordinate internal and external meetings, including preparation of agendas, meeting materials, and follow-up actions.
- Screen, prioritize, and manage communications on behalf of the executive.
- Track and follow up on action items, commitments, and business priorities.
- Prepare presentations, reports, spreadsheets, and executive communications.
Meeting & Event Coordination
- Organize leadership meetings, town halls, off-sites, and business reviews.
- Coordinate logistics, room bookings, catering, and technology requirements.
- Capture meeting notes and ensure timely distribution of action items and decisions.
Travel & Expense Management
- Arrange domestic and international travel, including flights, accommodations, visas, transportation, and itineraries.
- Manage travel-related documentation and executive schedules.
- Process expense reports and ensure compliance with company policies.
Stakeholder Management
- Act as a key point of contact between the executive and internal or external stakeholders.
- Build strong working relationships across functions and leadership teams.
- Maintain professionalism and confidentiality when handling sensitive information.
Administrative & Operational Support
- Maintain organized records, documents, and correspondence.
- Support departmental projects and business initiatives as required.
- Assist with budget tracking, procurement requests, and vendor coordination.
- Identify opportunities to improve processes and administrative efficiency.
Qualifications
Required
- Bachelor's degree or equivalent experience.
- 5+ years of experience supporting senior executives or leadership teams.
- Proficiency in Microsoft 365 applications
- Experience working on concur, Microsoft outlook Excel, PowerPoint, and SharePoint.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to handle confidential information with discretion and professionalism.
Preferred
- Experience supporting Director, VP, or C-level executives.
- Experience coordinating global meetings and international travel.
- Strong project coordination and event management skills.
- Experience working in a multinational corporate environment.
