We are seeking a highly organized, proactive Executive Administrative Assistant to provide dedicated support to two senior leaders. This contract role may evolve into a permanent position based on business needs and performance.

The primary focus of this role is executive administrative support. The position will also provide limited business-support assistance, particularly in preparing leaders for meetings and supporting follow-through on priority initiatives.

We prefer someone in the New York metro area but will consider remote US candidates as well.

Responsibilities:

  • Manage complex calendars for two senior leaders, including scheduling, prioritization, meeting coordination, and conflict resolution.
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, itineraries, and required travel documentation.
  • Prepare, submit, and track expense reports accurately and in a timely manner, in accordance with company policies.
  • Coordinate meeting logistics, including invitations, agendas, materials, room or virtual-meeting arrangements, and attendee communications.
  • Provide light business and meeting-preparation support, including gathering background information, coordinating stakeholder input, and assisting with agendas, briefing materials, presentations, and meeting notes.
  • Develop an understanding of the leaders’ priorities and key initiatives in order to anticipate needs, support meeting readiness, and help ensure timely completion of action items.
  • Maintain trackers, organize relevant materials, and provide administrative coordination for selected business initiatives as needed.
  • Handle sensitive information with discretion, professionalism, and sound judgment.
  • Support additional administrative and operational activities as needed.
     

Qualifications:

  • A minimum of 2-4 years' experience supporting senior-level leaders in an administrative, executive assistant, or similar role.
  • Bachelors degree preferred, or equivalent experience
  • Demonstrated ability to manage competing priorities, work independently, and maintain exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency with calendar, travel, presentation, and expense-management tools.
  • Ability to quickly understand business priorities and synthesize information into clear, well-organized meeting materials and follow-up actions.
  • Strong organizational, analytical, and problem-solving skills, with the ability to manage details while maintaining awareness of broader business objectives.
  • Experience with expense billing, data collection, presentations
  • Professionalism, discretion, confidentiality, and a service-oriented approach.
     

The pay range for this position is $48.00 - $55.00 per hour. Broadridge considers various factors when evaluating a candidate's final salary including, but not limited to, relevant experience, skills, and education.
