Job Title: Document Control Manager

A Snapshot of Your Day (Document Control Manager)

As a Document Control Manager, you will play a critical role in ensuring that all documentation associated with Siemens Energy’s Factory Expansion projects is properly governed, controlled, and maintained throughout the project lifecycle. You will be responsible for establishing and managing document control and records management processes that support safe, compliant, and efficient project execution.

In this role, you will oversee the management of engineering, construction, commissioning, quality, EHS, and commercial documentation, ensuring that information remains accurate, traceable, audit-ready, and aligned with Siemens Energy governance standards. Working closely with project teams, contractors, suppliers, and key stakeholders, you will enable disciplined project execution while supporting Implementation Assurance objectives and Siemens Energy’s commitment to operational excellence and Zero Harm ambitions. We are looking for an experienced document control professional with strong expertise in project documentation, governance, compliance, and records management who can drive consistency, accuracy, and continuous improvement across large-scale industrial projects.

How You'll Make an Impact

• Define, implement, and enforce document control standards, processes, and procedures across Factory Expansion projects.

• Establish and manage document workflows, including document numbering, naming conventions, version control, approvals, metadata management, and retention requirements.

• Ensure all project documentation is accurately maintained, controlled, and accessible throughout the project lifecycle.

• Oversee documentation across engineering, procurement, construction, EHS, quality, commissioning, testing, and project handover phases.

• Maintain structured document repositories and evidence databases to support audits, governance reviews, KPI reporting, and Implementation Assurance activities.

• Ensure all project records remain compliant with internal standards, customer requirements, regulatory obligations, and records management policies.

• Monitor document control compliance across project teams and contractors, identifying gaps and driving corrective actions where required.

• Support project teams in ensuring that documentation remains current, accurate, traceable, and audit-ready at all times.

• Drive continuous improvement initiatives related to document management processes, governance frameworks, and digital documentation systems.

• Coordinate with contractors, suppliers, consultants, and project stakeholders to ensure timely submission, review, approval, and distribution of project documents.

• Develop and maintain reporting dashboards and document status tracking tools to provide project visibility and performance insights.

• Support implementation assurance objectives by ensuring documentation requirements are effectively integrated within project execution processes.

• Deliver training, guidance, and ongoing support to project teams, contractors, and suppliers on document control procedures, systems, and best practices.

• Promote a culture of governance, compliance, accountability, and quality throughout project documentation activities.

What You Bring

• Bachelor's Degree in Engineering, Information Management, Business Administration, or a related discipline, or equivalent professional experience.

• Minimum 7 years of experience in Document Control, Records Management, or Project Information Management within industrial, manufacturing, EPC, or capital project environments.

• Experience supporting factory expansion projects, infrastructure projects, industrial facilities, or other large-scale capital investments.

• Strong understanding of EPC project environments, project governance frameworks, and lifecycle documentation requirements.

• Expertise in Document Control systems, document repositories, and electronic document management tools.

• Proven experience managing document workflows, version control, metadata structures, transmittals, approvals, and document retention processes.

• Strong knowledge of compliance, governance, audit requirements, and records management best practices.

• Experience supporting quality, engineering, construction, commissioning, EHS, and commercial documentation processes.

• High attention to detail with a strong commitment to data accuracy, consistency, and document integrity.

• Strong analytical and organizational skills with the ability to manage large volumes of project documentation effectively.

• Excellent stakeholder management skills and the ability to work collaboratively with multidisciplinary project teams.

• Effective communication skills with the ability to provide training, guidance, and support to internal and external stakeholders.

• Advanced proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and SharePoint.

• Strong affinity for digital systems, document management technologies, and process improvement initiatives.

• Structured, proactive, and process-oriented approach to work, with the ability to manage multiple priorities in a dynamic project environment.

• Professional proficiency in English with excellent verbal and written communication skills.

• A collaborative and self-driven mindset with a passion for operational excellence, governance, and continuous improvement.
