This role is a Administrative Assistant position within the Keysight Advanced Technology Labs organization, supporting the Director of HFTC Operations

Responsibilities

You will work day‑to‑day in close partnership with the Director and a Chief of Staff, operating as a three‑person leadership support team that runs the Operations team and enables the Director to operate at maximum effectiveness. In this model:

  • The Director sets direction and priorities
  • The Chief of Staff acts as the Director’s operational and strategic extension
  • The Administrative Assistant is the execution engine that ensures rigor, flow, coordination, and follow‑through across the director’s time, relationships, and operating rhythm

This is a hands‑on support role, not a program management or business operations position.

  • Provide direct, high‑confidence assistance to the Director of Operations, including:
    • Complex calendar management and meeting coordination
    • Domestic and international travel planning
    • Preparation and organization of executive‑level materials
    • Expense tracking, purchase requisitions, and approvals
  • Partner closely with the Chief of Staff to support the operating rhythm of the Operations team, ensuring meetings, reviews, and commitments are well‑prepared and well‑followed‑up.
  • Serve as a central point of coordination for the Director’s interactions with senior leaders, teams, and external stakeholders.

Administrative Operations & Efficiency

  • Maintain accurate org charts
  • Support smooth logistics for leadership meetings, reviews, and large forums (e.g., town halls), including Teams setup and coordination.
  • Perform confidential administrative duties with discretion and professionalism.
  • Identify opportunities to standardize and streamline administrative processes, templates, and workflows - using both traditional process improvement and AI‑enabled approaches.
Qualifications

Qualifications

This is a critical executive support role, requiring adaptability, professional demeanor and effective communication.

  • 3+ years directly related experience in an executive support role
  • Associate or bachelor’s degree; specialized training/certification is a plus
  • Excellent judgment and discretion is an absolute necessity
  • Strong office application skills, including MS Office suite business applications. Must be able to create and use documents of moderate complexity in Excel, PowerPoint, and Word. Other “table-stakes” tools skills include Teams, Zoom, Sharepoint, etc. Increasing leverage of AI tools such as MS Copilot and ChatGPT is expected.
  • Ability to work independently as well as part of a team
  • Excellent organization and time management skills
  • Excellent interpersonal skills and a pleasant, positive demeanor
  • Ability to exercise good judgment/decision making when necessary
  • Ability to prioritize and take initiative, and manage multiple activity streams
  • Flexibility to work occasional overtime or different hours as required
  • Increasing and sustained use of AI tools (e.g., Microsoft Copilot, ChatGPT or equivalents) is expected
  • Attention to detail and follow-through
  • A background in project management or related role is a plus
  • Poise, presence, personality and initiative to be a top-notch, right-hand professional

Location

Candidates must be local to Santa Rosa,CA or willing to relocate to Santa Rosa, CA.

The level of role will be based on applicable experience, education and skills; Most offers will be between the minimum and the midpoint of the Salary Range listed below.

CA pay range: MIN $57,220  MIDPT-$76,290.00 -MAX $95,370.00 

Note: For other locations, pay ranges will vary by region.
