HubSpot Academy Associate AI Admin

HubSpot Academy is on a mission to be the place people go to learn how to start and grow a business. We offer a variety of educational and inspirational content — from Academy On-the-Go videos to full certification courses and onboarding to cohort learning experiences — that provides valuable business training to people all over the world. Our educational content and experiences generate new customers for the business and delights existing ones in service of achieving their business and career goals. We do this work to drive engagement and connections across the HubSpot ecosystem.

We're seeking a curious, action-oriented administrator ready to help operationalize and scale our AI-enhanced and AI-led processes to meet strategic objectives. As a member of the Learning Operations team, you'll work closely with all HubSpot Academy teams and collaborators to maintain and optimize AI-powered processes and learning experiences for our global learner base.

In this role, you’ll focus on:

  • Implementing and maintaining AI assistants, agents, and automations for the HubSpot Academy team.
  • Building and retrofitting AI-enhanced or AI-led workflows within HubSpot Academy’s content creation processes.
  • Ensuring operational efficiency by troubleshooting, updating, and optimizing AI-driven systems and solutions based on internal user feedback.
  • Documenting technical procedures and support materials for scalability.
  • Monitoring AI system performance (accuracy and efficiency); gathering feedback and usage data to identify and implement improvements.
  • Configuring, testing, and updating AI models or integrations, including the use of prompt engineering, basic scripting, API work, and UI configuration.
  • Supporting AI training efforts, data labeling, and reviewing outputs to improve system accuracy and value for end users.

We're looking for someone who:

  • Has experience building and optimizing AI assistants and agents.
  • Is comfortable with ongoing learning and upskilling as AI tools rapidly evolve.
  • Has experience with databases (especially Airtable) and process automation tools.
  • Enjoys collaborating cross-functionally and can translate business/user needs into technical requirements for AI-powered solutions.
  • Shows attention to operational detail: able to document implementations, monitor system health, and resolve issues as they arise.
  • Is poised to support system upgrades and onboard new team members to AI tools and workflows.
  • Is proactive about learning new technologies and staying up to date with advancements in AI-powered platforms related to education and content delivery.
  • Is passionate about accessible, effective customer education and has strong written/verbal communication skills.
  • Has coding skills (such as Python, JavaScript, or similar), especially for automation, scripting, system integration, and API-based workflows.
  • Has at least 1–3 years’ experience in a technical administrator, junior developer, or IT support role (AI or EdTech experience is a plus).

This role is ideal for someone looking to deepen their technical expertise working hands-on with modern AI tooling and automation to scale customer education initiatives. If you’re excited to build the future of scalable, AI-driven learning experiences, we want to hear from you!
