The Recruiting Operations team provides the systems, workflows, and data foundation that power that hiring. Within Recruiting Operations, the Systems & Enablement team owns the recruiting technology ecosystem — ensuring our ATS, offer workflows, and connected tools are reliable, well-governed, and user centric.

We are building a team of Systems & Enablement Leads who together operate, evolve, and support the tooling ecosystem that runs hiring at OpenAI.

About the Role

As a Systems & Enablement Lead, you will be one of the core owners of OpenAI’s recruiting systems. You’ll be responsible for a set of workflows, tools, and operational domains within our ATS and recruiting platform, while partnering closely with recruiters, coordinators, People Analytics, HR Operations, Legal, and IT.

This is a highly hands-on role for someone who enjoys being deep in systems while also driving clarity, training, and consistency across a large organization. You’ll help ensure that recruiting teams can move fast within reliable systems and processes — and that the data and workflows behind every hire are accurate and reliable.

What You’ll Do

Operate and Improve Recruiting Systems

  • Serve as an administrator for OpenAI’s ATS (Ashby) and connected recruiting tools

  • Configure and maintain recruiting workflows, pipelines, fields, permissions, and integrations for your assigned domains

  • Partner with teammates on the Systems & Enablement team to maintain shared standards and coverage

  • Work with vendors on support, enhancements, and feature adoption

Ensure Data Quality and Workflow Integrity

  • Own the accuracy and completeness of data in your areas of the recruiting lifecycle

  • Partner with People Analytics to ensure reporting fields and pipelines are trustworthy

  • Design and implement guardrails that prevent incorrect or inconsistent data entry

  • Audit and monitor recruiting systems to quickly surface and resolve issues.

Support and Troubleshoot

  • Participate in the Recruiting Operations support queue (Slack and Jira)

  • Troubleshoot complex system issues across tools, permissions, and integrations

  • Collaborate with IT, vendors, and teammates to resolve problems quickly

  • Turn recurring issues into durable fixes through configuration, automation, or documentation

Enablement & Change Management

  • Create and maintain SOPs, training, and documentation for the workflows you own

  • Lead enablement sessions and onboarding for recruiters and coordinators

  • Support releases of new workflows, features, and policy updates

  • Help ensure changes are adopted and understood across the organization

  • Measure adoption and workflow health to ensure changes are landing as intended

Offer & Agreement Workflows

  • Support offer and agreement processes and creation in partnership with Legal, HR Ops, and Compensation

  • Maintain templates, approvals, and system logic that ensure offers are issued correctly

  • Assist with complex or non-standard offers through governed workflows

Continuous Improvement

  • Identify friction, inefficiencies, and scaling challenges in the system

  • Propose and implement improvements that make recruiting faster, more consistent, and more reliable

  • Stay current on tool capabilities and recommend ways to better use them

We’re Looking For

  • 5+ years of experience in recruiting operations, HR systems, people technology, or related roles

  • Hands-on experience administering an ATS (Ashby strongly preferred)

  • Strong understanding of recruiting workflows, offers, and hiring data

  • Ability to balance detailed system work with user support and enablement

  • Strong communication and stakeholder partnership skills

  • Comfort working in fast-moving, evolving environments

Nice to Have

  • Experience supporting global or multi-entity hiring

  • Familiarity with compliance-sensitive or highly regulated workflows

  • Experience creating training and documentation for operational teams

  • Experience working with analytics or downstream HR systems

Compensation: USD 190,000 - 190,000 per year • Equity offered
